What are the deposit and contract terms and when do you need to know the attendance count?
The contract is between both parties (bride and groom) and Beardslee Castle.  Any payments made to Beardslee Castle are considered to be made on behalf of both the bride and the groom with no regards to who has written the check or made the payment. All dates are first-come-first served.  We do not ‘pencil-in’ or hold dates without a deposit. A $500 non-refundable retainer reserves your date initially.  The retainer will be applied to your final balance due.  A signed retainer check is legally both a contract and receipt. If you are sending a check by mail please write in the reception date and time in the check memo line.  We will provide you with an initial contract which will be modified and continued as you make selections of your food and beverage package.  If your retainer is in cash we will provide you with a cash receipt.   Once you decide on your menu and other details, we provide you with a summary of your event menu selections, timing, any special needs, and all costs and payment information.  The offerings and stipulations of the menu you receive (this menu) are part of that agreement.

Your retainer gives you an exclusive reservation of your dateWe cannot cancel your date or give your date to another party.  You will also have access to meetings with our wedding coordinators and all resources and referrals that we have in assisting you to plan your event.

We provide a written summary about 7 months in advance based on your selections. If you haven’t made menu selections we base the estimate on the least expensive food and beverage packages ($40 per person). We require a minimum non-refundable retainer of 25% of that summary six months in advance of your date to continue to hold the date.  The retainer will be applied to your final balance due.  Late payments may be charged a 5% late fee.   If the second retainer is more than 1 month late your initial $500 payment is forfeit and the date may be available if someone else requests the date.   All payments are applied to your final billing.

This wedding menu is valid for pricing for events booked between April 2009 and October 2010.   You may make changes to the menu you select (bar, food choices etc) up to one month in advance of your event. 

Cancellation policy:  If you are canceling your event for any reason we must receive that cancellation in writing by certified mail with return receipt sent to you.  Please retain your receipt as proof of your cancellation.  If you fail to cancel in writing earlier than 60 days preceding your event you will be responsible for a recovery fee of 50% of your expected balance due, based on the last revision of your banquet contract that you have received.  This 50% charge will be refunded to you if we are able to rebook the date with a comparable privately hosted event in the time remaining.   This does not apply if we hold our own promoted event including dinner theater, special banquets etc.  Any payments already received prior to your cancellation are non-refundable but may be applied towards the 50% recovery fee if they exceed the required retainers described above.

Final Payment is required by cash or check one week in advance of you event for the total due for a confirmed number of guests.  Please supply us with the number of guests and their entree selections [in the case of a sit-down dinner] two weeks in advance.  You will be billed for your final guest count or for the actual number attending, whichever is higher.

Are there room charges?
There is no room charge for groups of 160 adult guests or more.
Saturdays: (in season)  from May 1 -October 31, plus Valentines Day,  Saturday of Valentines week, New Years Eve:   
Room Charge for 125-160 adult guests $300 
Room charge for 100-125 adult guests $400
Room charge 75-100 adult guests $500
Room charge under 75 adult guests, $600
All other evening receptions:   $200 room charge for groups under 100 adult guests. No charge over 100 people
There is a minimum of 50 adult guests charged for use of the banquet room. 

Exclusive use of the Castle:  Rental of the entire building is available for an additional fee ranging from $2500-$5000.  This allows you to use the main floor and dungeon areas for hors d’oeuvres or after dinner dancing.  Rental of the entire facility requires a minimum package of $65 (before tax or gratuity) and a minimum attendance of 140.
 

Pricing for food and beverage in this menu is subject to prevailing sales tax rate [8.25% at the time of this printing] and 18% gratuity     Due to the volatile nature of food and energy costs in a climate of economic inflation, pricing is subject to change at the discretion of management if costs rise or fall by more than 30% from the time of booking.   If prices are increased, only our additional costs will be added with no additional mark-up over costs.  Prices will be locked in at the time of your 25% deposit.  

Be aware that many restaurants charge tax on their  ‘service charge or gratuity’!  We do not!  This saves you more than 1 ½% on your total bill!

of your event which will be provided after you meet with a banquet manager
